How this school uses automated tools to streamline their events

Year 12 Valedictory Celebration
“Social justice at Carey is embedded into the curriculum right from early learning to Year 12. Every student leaves Carey with that sense of responsibility to contribute back to society, which is why switching to Humanitix was a no-brainer - our ethos aligns so well with Humanitix and the education projects you support. Knowing that the booking fees are going back into not-for-profits instead of big corporations is such a fantastic alignment for us, and any school for that matter.”

- Erin Boyd, Community Support & Events Coordinator & Kaushini Fernando, Alumni and Community Manager

We run so many different events across departments and associations - fundraisers, musicals, alumni anniversary events, parent evenings, cocktail parties, Mother’s Day and Father’s Day events, sporting events… you name it!
On Humanitix it’s so easy and self-explanatory to build events - the platform takes you through it step by step. There’s a little button in the right hand corner where you can talk to someone live if you need someone to answer your questions as well.”

We mapped out what account structures we wanted before setting them up on Humanitix. At Carey we have 15 accounts on Humanitix, and another 7 to go with different levels of access.
I really like that I can just log into my account and see all the events that we are planning across the school, thanks to shared permissions. I’ve created accounts and given the details out to groups to use. Consolidating everything in one place has been a massive advantage at Humanitix - it feels so much more organized and in control.”

What were the key features that Erin and Kaushini used to streamline Carey's events on Humanitix?

Automated payouts & notifications

“I have set our finance team up with access so they can see everything and also receive a notification when a payout has occurred. They can check the bank account and know which event it relates to. It’s good to know payouts happen straight away after the event and that it’s not just sitting in there without us knowing.”

Automated waitlists

“When we run high demand events like Open Days, being able to use the automated waitlist function has been a huge improvement. Previously the staff in the office were calling and managing a manual list and it took a lot of their time.”

Brand styling

“The other thing we noticed was how easy it is to keep brand styling consistent across different events. There are so many different event organizers at the school who don’t necessary have the skills or time to create their own event branding. One of the jobs we contemplated was them sending their ticketing branding to us first and we go through it all, but that’s too time consuming with so many events. But Canva being built into the Humanitix platform has pretty much solved that problem. It’s a lot easier to adhere to the brand guidelines, using the seamless integration.”

Seating maps

“Since we rolled out Humanitix, we’ve been able to use seating maps for our dinners and musicals. For example, for our Valedictory Dinners we sold over 800 tickets, with 100 tables. Setting it up so that our Year 12s can select where they want to sit hasve made a big difference.”

Humanitix

Humanitix is the world’s first humane ticketing platform that donates 100% of profits from booking fees to children’s charities. Backed by Google.org and the Atlassian Foundation, Humanitix is converting the USD $3.7bn in annual global booking fees into social impact projects that give disadvantaged kids greater access to education, healthcare and a fair go in life.
